Manage Event Series attendees and series tickets
A series ticket is managed as one registration that seats its holder in every session of the Event Series. This article covers the host-side operations that work differently because of that: adding a guest manually, transferring, cancelling and refunding, per-session check-in, and exports. For setup and pricing, see Set up an Event Series with series tickets and drop-ins; for what attendees see, see What attendees see when they buy an Event Series.
Add a series ticket guest manually
Use the Series ticket (every session) option in Add Guest when a walk-in or comp should attend the whole series, not just one date. The option is offered on any date of the series, so you can add the guest from whichever session you have open.
Open the Add Guest panel on any date of the series. The full workflow is in Add a guest to an event manually.
In Ticket Type, choose Series ticket (every session).
Save the guest as usual.
The guest is seated in every session of the series, and each session's attendee list shows that seat. A session-specific ticket type still adds the guest to that one date only. Session custom questions are not collected for a series-ticket add.
Transfers: the whole ticket only
A series ticket moves as one unit. Transferring individual generated session seats, moving the series ticket to a different event, or exchanging it is refused, and partial transfers are not available.
When a transfer is refused, the message names the rule:
"Session seats follow their series ticket. Transfer the whole series ticket instead."
"A series ticket can't be split. Transfer the whole series ticket instead."
To transfer a series ticket, transfer it the way you would any ticket, from the attendee record: see Transfer a ticket to a different attendee. The new holder receives the same pass, with its seat in every session. If you were trying to move the guest to a different event or change their ticket type, those moves are refused for a series ticket; on a regular event they work as described in Change a guest's ticket tier or move them to a different class.
Cancel or refund a series ticket
Cancelling, refunding, discarding, or bulk-cancelling a series ticket carries through to its seats in every session, so one action frees a seat in each session at once. The steps are the same as for any registration: see Cancelling a registration. The payment refund itself still completes on the payment provider; read Issuing refunds for that side. Bulk cancelling from the Guests section is available to owners and admins.
Reactivating a cancelled series ticket seats the holder again only in the sessions their own cancellation had freed.
Drop-ins a holder already bought are kept. A series-ticket holder who bought a drop-in for one session keeps that drop-in, and the series ticket seats them in the remaining sessions. If that drop-in is later cancelled, the freed seat refills with their series seat.
Check in series ticket holders
One QR code covers the whole series, and it works at every session. Scanning a series ticket at a session checks the holder into that session; if the holder covers that session with a drop-in, the scan checks in the drop-in instead.
Checking in at one session does not carry over, so staff should check the attendee into each session they attend. If a scan shows Ticket not active, the seat for that session has been removed or is inactive. For the full door workflow, see Using QR code check-in.
When a series ticket has no session left
If every session in the series becomes draft or cancelled, a series ticket has no session left to seat its holder in, and the guest list flags it. The series ticket's row shows an Over capacity tag in the Guests section until a session can seat it again.
Deleting a date that has ticket holders opens a choice dialog instead of a plain cancellation: you can keep their tickets by cancelling the session, cancel and refund them, or move ordinary buyers to another date. A series ticket holder keeps their pass and only misses the deleted session, with no refund or move, so deleting a date they are seated on does not leave the series ticket with an Over capacity tag. Deleting the first date affects only that date; the next date leads the series and the rest stays on sale. See Delete or cancel an event date with ticket holders.
Deleting from the Series or Drafts tab still acts on the whole series, and so does deleting a first date that has no ticket holders of its own.
Exports and reporting
Event Series revenue is counted once in exports and reporting, not once per session. Event exports include the Event Series row alongside its sessions, and a series ticket is the purchase record: the generated session seats are not separate purchases or dashboard sales. Session attendee lists carry the corresponding seated registration rows, so you still get a per-session roster. See Exporting attendees to CSV and Viewing and filtering your attendee list.
Emails from a series ticket
The confirmation email comes from the series ticket and lists every session. The Event Series itself sends no reminders: reminders and thank-you emails are sent by each individual session, using that session's email settings.
