What Type of Event Tool Do You Need?
Not every event business needs the same tool. Answer 6 questions and we'll tell you honestly which category fits (even if it's not us….though we really hope it is)
Three Types of Event Tools
Most people search for "the best event tool" as if it's one category. It's not. There are three fundamentally different types, and each one solves a different problem.
Calendar-Centric Selling Tools
Calendar-centric selling is any business model where the primary transaction happens around a date and time. Yoga classes, wine tastings, cooking workshops, community fundraisers, ceramics studios, live music nights, wellness retreats.
These businesses share a defining trait: they already know their audience. They are always promoting their work, but they don't need a marketplace to fill seats. They need a tool that works on their site, captures every attendee, and charges a flat subscription.
Best for: yoga studios, cooking schools, vineyards, ceramics workshops, community nonprofits, creative retreats, music venues, fitness studios.
Appointment Booking Tools
Appointment booking tools solve a fundamentally different problem: one person booking one time slot. Consultations, coaching, private lessons. The transaction is one-to-one, not one-to-many.
Best for: public concerts, large festivals, conferences with open registration, events where filling the room with new people is the primary challenge.
Event Marketplaces & Discovery Platforms
Event marketplaces are built for promoters — people who need to fill a room with attendees who don't already know about the event. The platform provides discovery in exchange for per-ticket fees.
Best for: therapists, consultants, coaches, tutors, photographers, salons, personal trainers.

Producers vs. Promoters
A promoter needs discovery. They fill rooms with people who didn't know about the event yesterday. Eventbrite's marketplace and Instagram ads are the promoter's tools.
A producer already has their audience. They're a cake decorating studio and attendees find them through Instagram and email. They're a vineyard and guests check the website calendar every weekend.
When a producer uses a promoter's tool, they pay for distribution they don't use and send guests off the site they spent years building. The money part is annoying. The brand part is worse.
What is the best event tool for a small business?
It depends on what kind of events you run. If you host group events with your own audience, a calendar-centric selling tool like Eventually gives you flat pricing and on-site checkout. If you need to reach new people, Eventbrite provides discovery. If you book one-on-one sessions, Acuity or Calendly is the right fit.
What is the difference between event ticketing and appointment booking?
Event ticketing handles group events where multiple people attend at the same time. Appointment booking handles one-on-one sessions where one person selects a time slot. They solve different problems and require different tools.
Do I need Eventbrite for my yoga studio events and workshops?
Probably not. If your students find you through your own website, Instagram, and word of mouth, you're a producer — not a promoter. A flat-subscription tool like Eventually keeps checkout on your site and costs a fraction of Eventbrite's annual fees.
Can I use Eventually if I don't have a website?
Eventually is built for platform-based websites like Squarespace - we can help you purchase a domain and website for your business, and even offer full website design services through our sister agency, Week of the Website.
What if I run both group events and one-on-one sessions?
Use both tools. Acuity handles your appointments. Eventually handles your group events. They serve different jobs and work alongside each other.
